The Never-Ending Odyssey: Navigating the My IntraComm Platform

For years, My IntraComm served as a vital tool for European Commission (EC) staff, offering easy access to essential information on work resources, promotions, career development, family allowances, personal matters, and broader staff matters such as talent management, working conditions, buildings, family, and administrative steps.

It was also a reliable source for useful articles on Commission activities, top tools, and work resources. However, significant changes have gradually reduced its user-friendliness, leaving colleagues struggling to find the critical information they rely on. Systematically, essential information was removed, making previously accessible details harder to locate. Recently, the new version of MyIntraComm was launched, only exacerbating these challenges.

The recent update to My IntraComm, with the migration of the Staff Matters portal to the new Staff Centre, has made things even more challenging. Instead of simplifying access, the change has left many colleagues feeling lost and overwhelmed. Even a basic search has become a complicated process. When you finally locate the Staff Contact field and click on it, it does not take you anywhere helpful. It is nice to know there is additional information available in a sub-section—but figuring out how to navigate to that sub-section is a mystery in itself.

The platform also no longer includes a “Have Your Say” section, which once allowed staff to provide feedback or voice concerns, leaving colleagues without a direct way to express their views or suggest improvements. The conversation forum was migrated into MS 365 tool called Viva Engage. This manoeuvre resulted in limiting visibility of a discussion platform and cumbersome access to the previous discussion. All that in the spirit of continuous improvement.

Although there is a portal for newcomers to help them find key topics on My IntraComm, once they navigate on My IntraComm, the new format is screen-unfriendly, requiring excessive scrolling to access basic details. Searching for information still leads to cluttered SharePoint documents instead of concise, relevant webpage/section, making it difficult to quickly find direct answers. This is time consuming, and it is adding to users’ frustration!

It is our hope that further improvements will be made to restore My IntraComm’s role as a helpful and user-friendly platform for all EC staff, especially when it comes to key topics such as talent management, working conditions, Commission activities, top tools, family matters, and administrative steps. There is also a pressing need to restore a visible space for staff feedback, allowing colleagues to voice their concerns and contribute to making the platform more efficient and accessible.
